2016 Optional Marching Band Trip to California
“Attention current 8th-11th grade band students,“
Thank you to all who attended our interest meeting for the upcoming marching band season. To register for the optional Milton High School Marching Band trip to Southern California in November, you must must enroll for the trip by January 20 via the link at the end of this message. No invoices for the deposit amount will be sent out from Super Holiday Tours (SHT) until after all registrations are submitted to determine the total cost as the final amount is based on the total number of travelers. All payments for the trip will be made to Super Holiday Tours via their website. The initial deposit of $250 is due to SHT no later than January 29. Please make sure you are aware of the refund policies, pricing structure, and other information in the attached "Pricing and inclusions for students." Please contact Mark Drury of Super Holiday Tours at mdrury@superholiday.com if you have specific questions about the policies of SHT.
“Airfare and Transportation Information:“
After an extensive comparison of many options, airlines and fare quotes (and even charters), we now know that the cost of airfare will be $596.00 per traveler on United Airlines.* We have adjusted the projected amount to reflect this $146 increase from the original trip estimate. We will travel in two groups (one group connecting in Houston, the other in San Francisco) with both flights then arriving around the same time (slightly before noon) into LAX on Friday, November 25. We will depart LAX on the following Tuesday, November 29, with one flight connecting in Denver, and one flight connecting in Houston en route to ATL. Both flights get in around 9:30pm, and we will then take chartered busses back to Milton.
*This flight price should be considered a “worst case scenario.” It is very possible that once Southwest Airlines releases group reservations in April, we will be able to acquire a less expensive flight option at that time, nearer to our expected amount in the initial trip quotes, and then cancel our reservation with United Airlines. However, we had to secure the best current option (United Airlines) to ensure that we had space on these flights in case Southwest isn’t the best choice once Southwest’s fares and schedules become available to us in April. If we fly United, students will also be responsible for paying the $25.00 baggage fee at the time we check into our flights. Students will not be responsible for paying for the transportation of their instrument. In the event that there is a dramatic increase in fuel costs, we could also incur a $42.00 fuel surcharge from the airlines that would be due at the same time as the final payment. We will provide updates on airfare costs, as needed.
“Friends and Family” Traveler Package: Adults and family members* wishing to travel with the band on the trip over the holiday may do so under our “Friends and Family” package and must also sign up by the January 20th deadline via the link below. This package includes accommodations at the same hotel as the students, all meals, a ticket to reserved seating in the parade grandstands, and transportation to the various destinations on the trip on one of our local charter busses. See attached "Friends and Family Package" for additional details. The only thing this does not include is airfare, which must be arranged and secured separately. Travelers on this package are free to make alternate plans during the trip and are also free to participate in the activities as they wish. Friends and Family travelers are not the responsibility of the band or band directors while the trip is taking place.
*Any siblings wishing to go must be accompanied by a parent traveler as well.
“Chaperone Information:“ Official chaperones for the trip will be selected from the list of adults who register to go on the trip under the “Friends and Family” package, based on prior chaperone experience, familiarity with band policies and practices, and other factors. The adults agreeing to serve as official chaperones will have to fly on the same flights as the students, and will not be able to arrange their own airfare like the other adults traveling on the “Friends and Family” package. If you would like to be a chaperone, please wait to secure airfare until you are notified of your status in February and also let Mr. Shumick know of your interest via email (director@miltonband.org). All chaperones will be required to meet Fulton County Schools’ (FCS) background check requirements and abide by the FCS code of conduct for official chaperones while the trip takes place.
